Exporting records from StreemView


Overview


The Export Management interface equips StreemView administrators with the tools to create, manage, monitor, and download data exports within the application. Designed to be simple and intuitive, the interface streamlines the process of selecting and exporting tagged records in various output formats, including .dat, native, and Relativity Short Message Format (RSMF). Administrators can further customize export parameters, such as record numbering, date and time formatting, record context expansion, and scheduling. Additionally, summarization of the selected configurations and record counts for each export ensures the most accurate output is achieved before the export is even started.


Accessing Export Management


Once inside the matter, click "Administration" at the top of the screen and select "Export Management" to be greeted by the Export Management page.



The Export Management grid provides details on previously created export runs including:

  1. Export Name: Displays the name assigned to each export.
  2. User: Shows the username of the individual who created the export.
  3. Created Date: Indicates the date and time when the export was created.
  4. Last Export Date/Time: Shows the most recent time an export was processed.
  5. # of Items: Reflects the total number of records included in the export.
  6. Status: Displays the current status of the export (e.g., Completed, Ready, Draft, In Progress).
  7. Ellipses Button (Three Dots): Provides options for managing each export including:
    • Run: Initiate the export compilation using the saved configuration.
    • Download: Download the export file once processing is complete. (.zip format)
    • Clone: Create a new export with the same configuration.
    • Delete: Remove the export from the list.
    • Print: Print the details of the export configuration and summary.

Viewing Export Summary Details


During export creation or after initiating an export, a summary of the selections and record counts will be displayed on the right side of the page. This summary allows users to review the configuration and ensure accuracy before finalizing the export.


Data in exports is categorized in the summary by four types:

  • Messages: Chat
  • Loose Files: Image, Audio, Video, Document
  • Emails: Email
  • Other Data Types: Browsing History, Call Log, Contact, Database, Financial Information, Location, Network Connection, Notes, Voicemail. 

Counts for each category are present along with the total number of records or "Total Items" and the count of physical files exported or "Number of Files". (ie. sum of load file, native, and RSMF file counts)


Tags used to target or exclude records, DateTime format, and File Output options also appear on the export summary.


Managing Exports

  • Use the Search Exports bar at the top-right corner of the screen to filter exports by name or other criteria.
  • For each export, the Ellipses Buttonprovides additional management actions:
    • Run: Re-run the export with the saved configuration.
    • Download: Download the completed export files.
    • Clone: Duplicate the export configuration to quickly create a similar export.
    • Delete: Remove the export from the list permanently.
    • Print: Print the export configuration and summary for record-keeping.
    • Reschedule: Modify the date and time the export is scheduled to run.
    • Cancel Schedule: Cancels the scheduled export and sets the export status back to draft.


Export Status Indicators

  • Completed: The export process has finished, and the data is ready for download.
  • In Progress: The export is still being processed.
  • Scheduled: The export has been scheduled to run at a later time.
  • Failed: An error occurred during the export process.


Pagination and Navigation

  • If there are multiple pages of exports, use the pagination controls at the bottom-right of the list to navigate between pages or jump to a specific page.
