Adding Tags to a User's Tag Menu
In order for tags to be visible in Quick Filters and tag menus, the tag must be listed in the "Selected Tags" list in Tag Administration with that user logged in. If a new or existing user is not seeing an existing tag in a tag menu that is expected to be available, navigate to Administration > Tag Administration to add the tag to the "Selected Tags" list and enable the tag in the tag menu for that user. Each user will manage their own "Selected Tags" list. Only system tags will be available and selected by default.
Tag Management
Tags are labels assigned to records to help categorize, group, and organize them. Tagging records also makes it easier to filter, manage, and export the tagged records.
Tags are managed in the Administration menu under Tag Management. Each tag must be assigned a distinct color for easy recognition and optionally can be assigned a hot key for swift application of the tag to selected records.
Administration > Tag Management
There are several default tag selections available to users in a new matter.
The default tags include:
- Responsive
- Non-Responsive
- Privileged
- Keyword Search Hit - The Keyword Search Hit tag is automatically applied to documents that match keyword hits from the Search Terms list.
- Exported - Records that are exported from StreemView will automatically be tagged with the Exported tag.
Default tags appear in a user's Selected Tags list. Users may create new private or public (global) tags that will also appear in the user's Selected Tags list. Selected tags are visible in Quick Filters and are available in the user's tag pallet to apply to records. Tags listed in the Available Tags list are not visible in Quick Filters or the user's tag pallet. Tags can be moved from the Available Tags list to the Selected Tags list for visibility and use in the matter. Tags can also be removed from the Selected Tags list to hide them from view in Quick Filters and the tag pallet.
Private tags will be available only to the user who created the tag or to StreemView administrators.
Global tags will be visible in the Available Tags list to other users and Client Administrators, under the same Client.
To move tags between the Available Tags list and the Selected Tags list, click the box next to the tag(s) and then click the arrow buttons to move the tag in the desired direction.
Click the double arrow buttons to bulk move all tags to the desired list.
Creating New Tags
Tags can be created from any view where tags can be applied or from the Tag Management interface.
To create a tag from Tag Management, click the "Create New Tag" button at the bottom left corner of the view. The Create New Tag dialog will appear.
Input a tag name, select a distinct color to assign to the tag for easy identification, and optionally assign a hot key which can be leveraged to swiftly apply the tag to records in the Preview panel using the keyboard. Mark the tag as private to hide from global view in other user's Available Tags list and then click "Create New Tag" again to save the tag.
All private tags are visible to Administrators
Modifying Tags
Tags can be edited after creation by clicking the pencil icon next to the tag in the Tag Management interface.
Deleting Tags
To delete tags from a matter, locate the tag in the Tag Management interface either using the tag search field or by scrolling through the tag list and mark the box next to the tag(s) of interest then click the trash can icon.
