What is Archiving?
Archiving a matter means taking the database, storage, and index offline and preserving its current state. This process ensures that the matter is no longer active but can still be restored for reference or compliance purposes. Archiving helps in maintaining an organized and efficient system by keeping only active matters in the main workspace and saves cost on matters that are no longer active.
How to Archive a Matter
Locate the Matter: Navigate to the Matter List where all matters are displayed. Find the matter you wish to archive. Click on the ellipses button (three dots) next to the matter:
- Request Archive: Select the option “Request Archive” from the menu. An archive request can also be made from the Administration menu within the matter.
- Request Near Line: Select the option “Request Near Line" from the menu. A Near Line request will be sent to the administrator.
- Request Deletion: Select the option “Request Deletion" from the menu. A Deletion request will be sent to the administrator.
Admin Approval: Once the request is made, a StreemView admin user (ie. Client Admin role or higher) will need to approve it.
The admin can find the archive request in the same menu.
The admin should click on the ellipses button next to the matter and select “Approve Archive Request”.
Upon approval, the matter will be removed from the matters list and will no longer be accessible by users.
Send a request to Support@streemview.com to restore an archived matter.
Important Notes
- Preservation: Archiving preserves the matter’s current state, ensuring all data is intact and accessible when needed.
- Access: Archived matters can no longer be accessed by users.
- Reactivation: When necessary, an archived matter can be restored and reactivated by StreemView Support.
